Websites and AI front desks for Ontario accounting firms.

We help small accounting, bookkeeping and tax firms in Halton and the GTA win more of the right clients, and stop missing calls when tax season hits. A website that says clearly who you serve, and an AI front desk that answers when your team can’t.

Where small firm websites usually fall short

None of this is about flashy design. It’s about the handful of things a prospective client needs to see before they pick up the phone.

It doesn’t say who you serve

People decide in seconds whether a firm handles clients like them: sole proprietors, small corporations, rental property owners, newcomers to Canada, not-for-profits. Many firm sites list “accounting services” and stop there.

A good firm website names the clients you want, the services they need, and what working with you is like.

The phone rings when nobody can answer

From February to April, calls and emails pile up at exactly the moment your team is buried in returns. Voicemail fills up, enquiries go unanswered, and the client who didn’t get a call back books someone else.

An AI front desk answers every call, takes the details and books the appointment.

AI search can’t find you

More people now ask ChatGPT or Perplexity to recommend an accountant nearby. Those tools lean on sites that answer questions plainly and use structured data.

If your site is a few vague pages, you’re unlikely to be the firm they mention.

What we build for firms

How the AI front desk works

It isn’t a replacement for your team. It catches the calls you’d otherwise miss and hands you a tidy summary.

Switch between the two versions of the same evening call to see the difference.

Example: a new client calls in March, at 6:40 pm

  1. Incoming callThe phone rings eight times. Your team is with clients.
  2. VoicemailThe mailbox is full, so no message is left.
  3. Next morningNobody knows they called.
  4. They book with another firm.

What happens on every call

  1. 01A client callsThe AI answers straight away, says it’s an AI assistant for your firm, and that the call is recorded.
  2. 02It handles the routineOffice hours, what documents to bring, how to book: answered from information you’ve approved.
  3. 03It books or takes a messageAppointments go into your calendar; anything else becomes a written message.
  4. 04Urgent calls reach a personCallers can ask for a human at any point, and urgent calls are forwarded to you.
  5. 05You get a summaryEvery call arrives in your inbox as a short note with the caller’s details.

Client privacy, handled carefully.

Your clients trust you with their financial lives. Any tool that talks to them on your behalf has to respect that.

  • Inbound calls only. The AI front desk never makes outbound calls.
  • No tax or financial advice. It answers practical questions and books time with you; advice stays with your accountants.
  • Clear disclosure. Callers hear that they’re talking to an AI and that the call is recorded.
  • Written down. The voice provider and how long recordings are kept are listed in your privacy policy, with PIPEDA in mind.
  • Reviewed before launch. We recommend your lawyer reviews the call script before the first client call.

Questions from firm owners

Will clients know they’re talking to an AI?

Yes, always. The AI front desk introduces itself as an AI assistant at the start of every call and tells callers the call is recorded. We don’t build tools that pretend to be people.

Can the AI give tax advice?

No. It’s set up to answer practical questions, such as your hours, what to bring and how to book, and to take messages. Anything that needs professional judgement goes to your team.

What if a caller wants a real person?

They can ask at any time. The call is forwarded to the number you choose, or the AI takes a detailed message if nobody is available.

Do we need a new website to use the AI front desk?

No. The AI front desk works with your existing phone number and website. If your site needs work too, we can quote both together.

Which areas do you serve?

We’re based in Burlington and focus on firms in Halton and the GTA, including Oakville, Mississauga, Milton and Hamilton. Most of the work happens remotely, so firms elsewhere in Ontario are welcome too.

How long does it take?

A Launch website takes about two weeks once we have your content. An AI front desk is set up and tested over a few weeks, including a trial period where your own team calls it before any client does.

When is the best time to start?

September to January. That gives enough time to build, test and adjust everything before February, when calls start to climb.
